This policy explains how 4wdID handles personal information for accounts, enquiries, course bookings, training records, partner delivery, file management and notifications. We process information only where it is needed for a clear business purpose, contract performance, legal obligations, course safety or system security.
1. Information We Process
Account information: name, English name, email, phone, country or region, state or province, city, role interest, account status, login records and security records.
Enquiry information: contact details, city, vehicle model, off-road or training experience, course interests, enquiry content and follow-up records submitted through public forms.
Course booking information: course, session, training provider or base, instructor, booking source, reconciliation status, attendance status, learning progress and training records.
Instructor and provider information: identity details, contact information, service area, course capability, site information, review materials, partnership records and operating communications.
Vehicle and training-experience information: vehicle type, vehicle condition, driving experience, off-road experience, equipment status and safety-related notes you provide.
Roster and emergency-contact information: course rosters, check-in records, emergency contact names and contact details, and on-site records needed for course safety management.
Health and risk declarations: health status, risk acknowledgements, safety notice confirmations, course responsibility documents and information you provide that may affect course safety. This information may be sensitive personal information and is handled under separate consent and necessity principles.
Course materials: photos, signature pages, score sheets, assessment materials, assignments, completion records, materials needed for platform record lookup and related file metadata.
File access logs and system logs: file views, downloads, exports, backend actions, logins, device data, IP address, browser, request time, exceptions and security audit records.
Notification records: email, SMS, phone, in-app notices, verification codes, booking reminders, course reminders, safety notices and service notice delivery status.
2. Purposes
We use the above information for account registration, identity review, enquiries, course scheduling, training records, 4wdID public record lookup, instructor and provider coordination, partner delivery, customer support, system security, abuse prevention, audit, dispute handling and legal compliance.
Marketing notices are sent only after separate consent. If you do not consent to marketing notices, account registration, course safety notices, service notices and legally required notices are not affected.
3. Third-Party Services
We may use email, SMS, cloud hosting, storage, security audit, analytics, map, payment or other third-party services. Those services process necessary information only for business delivery, system security or compliance, and remain subject to their own terms, privacy policies and applicable law.
We do not sell personal information without authorisation, and we do not use health or risk declarations, assessment materials or similar sensitive information for purposes unrelated to course safety, training records, review or compliance.
4. Retention
Account information is normally kept until account cancellation or for a reasonable period after the business relationship ends. Course bookings, training records, completion proofs, file access logs, audit logs, reconciliation materials and dispute records may be retained as needed for course management, platform record lookup, compliance, audit and dispute handling.
After the retention purpose or legally reasonable retention period ends, we delete, anonymise or restrict access to the relevant information. Backups, logs and archive systems may require a reasonable processing cycle.
5. Your Rights
You may request access, correction, export, deletion of personal information or account cancellation. Where course records, completion proofs, audit, reconciliation, dispute handling or legal requirements require retention, we may keep necessary records and explain the reason.
You may withdraw consent for non-essential marketing notices. Withdrawal does not affect processing already completed based on consent, and does not affect account security, course safety, service delivery or legally required notices.
6. Security
4wdID protects personal information through account permissions, role controls, access logs, sensitive-file classification, backend audit and least-necessary access. Risk notices help you understand course risk and cooperate with safety management; they are not a waiver of safety responsibility and do not remove safety, management, warning or rescue duties that 4wdID, providers, instructors or other service parties may have under law.
7. Contact
To request access, correction, export, deletion, account cancellation, marketing consent withdrawal, or to complain about personal information processing, contact the administrator through official 4wdID contact channels. We will verify identity and handle the request within a reasonable period.
