Refund & Reschedule Rules

These rules apply to refunds and reschedules for the 4wdID standard course. The standard course is a scheduled, fixed-location, small-group off-road safety training service. As the start date approaches, the instructor, safety officer, venue, insurance, materials, vehicle, equipment and class-place resources are progressively committed. Timing is measured from the course first-day assembly / check-in time (the "start time"); every "N days before the start" is counted back from that start time.

1. Core Refund & Reschedule Rules

Cancellations made 7 or more days before the start are eligible for a full refund of the course fee actually paid.

Cancellations made 3 to 7 days before the start may choose either a refund of 50% of the course fee paid, or one free reschedule to a same-level course within 6 months.

For cancellations less than 3 days before the start, after the course has begun, for no-shows, or for withdrawal part-way through for personal reasons, cash refunds are not available in principle because the above resources have already been committed; 4wdID may calculate any refund based on costs already incurred or unavoidably incurred, and that amount may be zero. A learner may apply for a place transfer up to 24 hours before the start, or apply for one special reschedule where eligible.

Where 4wdID or a delivery point cancels a course, the learner may choose a full refund or a free reschedule.

Where a course cannot run due to weather, government restrictions, venue closure or a safety stand-down, a free reschedule is arranged first; where rescheduling is not possible, the undelivered portion is refunded.

Where laws, regulations, judicial interpretations or regulatory requirements provide otherwise on a mandatory basis, those requirements prevail.

2. Reschedule

Each order may apply for one free reschedule by default, and only before 3 days prior to the start. The reschedule target is a same-level course within 6 months; moving to a higher-priced course requires paying the difference, while for a lower-priced course the difference may be applied toward a later course. A reschedule within 3 days of the start is a special reschedule, reviewed by headquarters or the course director, and may require bearing costs already incurred. Learners who have started the course, are no-shows, or withdraw for personal reasons no longer have the default free reschedule. If a course is cancelled again after a reschedule, it is recalculated based on the new start time and costs already incurred, and a second free reschedule does not apply automatically.

3. Place Transfer

A learner may apply for a place transfer up to 24 hours before the start. The new participant must re-submit the booking form, identity proof, driving licence, health declaration, risk disclosure, valid insurance proof and vehicle details, and pass 4wdID review of documents, health, insurance, vehicle and course suitability before the transfer takes effect. 4wdID only confirms the change of training eligibility and does not handle private payments between the two parties. Once the transfer is complete, the original learner no longer holds training, refund or reschedule rights for that order.

4. Cost Basis for Refund Amounts

Where cash refunds are not available in principle, any refund amount is calculated based on costs already incurred or unavoidably incurred, framed as reasonable compensation for costs already incurred rather than a penalty. Deductible costs typically include: venue reservation or use; last-minute instructor and safety-officer scheduling; insurance already purchased and non-refundable; materials already produced or entered into a non-cancellable process; vehicle, equipment and safety-preparation costs already incurred and unavoidable; and third-party non-refundable costs disclosed in advance. 4wdID records the deducted amount and the basis for deduction and explains it to the learner.

5. Refund Path & Timing

Refunds are returned via the original payment path in principle (subject to actual receipt by the payment platform, bank or third party). Offline payments are returned to the original payer's account per the contract or corporate process. Where an original-path refund is not possible, 4wdID handles it via a compliant path after the learner provides the necessary information. Refund review is normally completed within 3 working days; once approved, the refund is initiated within 7 working days, with actual arrival subject to the bank or third party.

4wdID does not provide top-up, withdrawal, transfer or fund-custody services.

6. Late-Booking Notice

Regular online booking and payment are recommended 10 or 7 days before the start. Bookings after 7 days before the start are handled as manual late bookings, with the resource-commitment status and these rules confirmed again before payment. For courses close to the start date, the instructor, venue, insurance, materials and class place have already entered the resource-commitment period and late cancellation carries a higher cost, so please confirm you have read and agree to these rules before paying.
